Free membership and class pack Excel template
In this template you list your packages (classes, days valid, price) once, then each member with their package and start date. As you note who came to each class on the register, classes left, the end date, the status (Active, Ending soon, Used up, Expired) and the balance due work themselves out.

How to use it
- Download and open the file; list your packages on “Packages”.
- On “Members” enter each member, their package (from the dropdown), start date and what they've paid.
- After each class note who came on “Register”: date, class, member.
- Once a week look at “Status”; talk to the ones “Ending soon” before the package runs out.
- Follow members who still owe from the “Balance due” column.
To open it in Google Sheets
- 1. Download the file.
- 2. Upload it to Google Drive.
- 3. Right-click the file → Open with → Google Sheets.
Frequently asked questions
How do you track pilates members in Excel?
Keep packages, members and the register on three sheets. A member's classes left are their package's classes minus the classes the register shows; the end date comes from the start date and days valid. In this template the formulas are ready; you keep the register.
When does it say “Ending soon”?
When a package has 1 class or fewer left, or ends in 7 days or less. That's the best moment for the renewal chat; winning back a member after the package has run out is harder. See your price per class in the class pack price calculator.
How do I freeze or extend a package?
Put the days you freeze in the “Extra days (freeze)” column on “Members”; the end date moves forward by that much and attended classes keep counting. Don't change the start date, or earlier classes drop out of the count. In Çetele, “Freeze / extend” on the member's page lets you pick 7, 14 or 30 days, or any number; if you made a mistake, you can undo it.
