No-show cost calculator

A no-show is a customer who misses an appointment without telling you. Your no-show rate is no-shows ÷ total appointments × 100; the weekly loss is no-shows × average appointment value. Multiply by 52 ÷ 12 for a month and by 52 for a year. Five no-shows in 60 appointments a week is 8.3%; at a ₺600 average, that's ₺3,000 a week, ₺13,000 a month and ₺156,000 a year.

How it's worked out

No-show rate

No-shows ÷ Total appointments × 100

Weekly loss

No-shows × Average appointment value

Monthly and yearly loss

Weekly loss × 52 ÷ 12 (month) · Weekly loss × 52 (year)

How to use it

  1. Count the appointments you had booked in a week, leaving out any cancelled in good time.
  2. Enter how many of them didn't turn up without telling you.
  3. Enter your average appointment value: the total of the appointments you did, divided by how many there were.
  4. Read the yearly loss and the one-more-a-week line: that's what's at stake in a few minutes of reminders a day.

Watch out

  • A cancellation in good time isn't a no-show: the customer gave you the slot back; note late cancellations separately so the rate stays honest.
  • This is lost takings, not lost profit, but rent and wages keep running through the empty hour, so its cost stays with you.
  • Mark no-shows the same day: an appointment left without a status at closing time throws off the weekly count; see how to keep an appointment book.
  • Don't judge from one week: measure for four, then change one thing, such as a reminder, a confirmation or a policy, and see whether the rate falls.

Frequently asked questions

What no-show rate counts as high?

No single no-show threshold fits every business; the rate varies with the trade, the neighbourhood and the service. The most reliable yardstick is your own history: measure for four weeks, find your average and compare the weeks after with it. Read the rate together with the money: at a ₺600 average, even one no-show a week is ₺31,200 a year. A rate that looks small can still be worth a reminder routine.

Should you use the average value or what the missed appointments were worth?

If you know what the missed appointments were worth, add those up; that's the truest loss. If not, the average is a good stand-in. But if long, expensive jobs are the ones that get missed, the average makes the loss look smaller than it is: a missed two-hour set of acrylic nails at ₺1,500 costs you two and a half times a ₺600 average appointment.

How do you work out what no-shows cost in a year?

Multiply the weekly loss by the number of weeks you're open in a year. With 5 no-shows a week at a ₺600 average, the weekly loss is ₺3,000, or ₺156,000 over 52 weeks. If you close for two weeks a year for holidays, multiply by 50 instead: ₺150,000. For a monthly figure, multiply the weekly loss by 52 and divide by 12, since a month averages 4.33 weeks: ₺13,000.

How does a physiotherapist or psychologist work out what missed sessions cost?

With the same formula: missed sessions × session fee. If 2 of 20 sessions a week are missed, the rate is 10%; at ₺1,800 a session, that's ₺3,600 a week, or ₺187,200 over 52 weeks. A session hour is set aside for one person, so a slot that opens at the last minute is rarely filled; that makes asking for confirmation the day before even more important. Keep the message to the day and time.

Have a good day at work!

Mark a missed appointment as “No-show” and it stays in the customer's history; “Remind on WhatsApp” opens a ready message, but you're the one who sends it, as Çetele never sends anything on its own.
